This tracker helps you remember the human details, see who's actually warm, and stay consistent across multiple areas without dropping anyone.
Update it weekly. Five quiet minutes is enough.

One row per agent. Update the rating monthly.
Columns: • Agent name • Agency / branch • Area • Tier (A / B / C) • Tier A — they call you first • Tier B — they know you and remember your criteria • Tier C — you're on a list but not on a relationship • Last contact date • Properties they've introduced (count this year) • Properties you've offered on through them • Properties you've completed on through them • Relationship quality (1–10) • Notes (one sentence — the thing you'd forget otherwise)

(manager, lister, valuer) • Office address and your last in-person visit date

A monthly check-in. For each Tier A or B agent:
• Have I spoken to them this month? (Y / N) • Was the last call useful to them or just to me? • Did I do what I said I'd do last time? • Have they sent me anything off-market in the last 90 days? • Honest rating of trust on both sides (1–10) • Anything that's gone slightly cold? Why? • One small thing I could do to strengthen it before next month

What each agent thinks you're looking for — in their words, not yours.
For each agent, note exactly what you've told them: • Strategy (single let, HMO, flip, SA, BRR, lease option) • Postcodes / streets / areas • Price range • Bedrooms / property type • Condition (turn-key, light refurb, full project) • Tenure preference • Timeline (ready to proceed in X weeks, cash, mortgage, chain-free) • What you've explicitly told them you DON'T want — so they don't waste your time or theirs
Mismatch check: does what they're sending match what you actually want? If not, the brief needs resetting.
